Accounting Specialist

Purpose of the Position: Reporting to the Associate Director, and working closely with the Departmental Directors, the Accounting Specialist is a professional responsible for performing a variety of financial and accounting tasks within an organization, including maintaining financial records, preparing financial statements, reconciling accounts, analyzing financial data, and ensuring accuracy of transactions by posting them to the general ledger, often specializing in a specific area like accounts receivable or payable. The position’s primary goal is to ensure the day-to-day business and financial health of the organization run effectively and efficiently.
Specific Duties
Finance:
- Responsible for internal controls and adherence to financial policies.
- Perform general bookkeeper tasks such as preparing and maintaining financial reports such as balance sheets, income statements and cash flow statements. Input and verifying financial transactions, including payments, receipts and journal entries. Performing month end close processes. Ensuring compliance with GAAP.
- Contributing to the development and review of annual operating budgets and performance projections.
- Performing monthly financials and balance sheet reconciliations to budget. Communicate budget variances to leadership and meet processing and reporting deadlines.
- Responding to information requests, reviewing financial statements, and assisting with annual audits.
- Managing credit card expenditures through accounting software. Ensures card holders are following the financial policies/procedures of timely receipt and expense submissions.
Account Receivable/Accounts Payable:
- Process daily client superbill payments and resolve any discrepancies. Track, bill and reconcile all third-party billing, collaborative partnership billing and reporting for designated client grant billing as required.
- Ensure adherence to policy for maintaining safe keeping of client payments.
- Perform weekly deposit of payments and enter in Xero Accounting Software.
- Maintain vendor management files, including obtaining required W-9s for payment. Maintain up to date contracts as required. Maintain up-to-date 3rd party billing agreements.
- Review invoices and check requests for appropriate documentation and required approval.
- Prepares check requests for Everywhere Accounting, Processes check print log, Print checks for payments, request signature(s), mail payments
- Consolidate donations/grants between donor software and accounting software to ensure financial balance and accurate designation.
- Work with outsourced partners.
Other:
- Attend community meetings, training events and agency meetings.
- Assist Associate Director as needed.
- Prepare annual reports/submissions as required for non-profit status (i.e.: charitable contributions, renewal of tax exemption, etc.)
- Other duties may be assigned from time-to-time to drive the mission, vision, and strategy of The Refuge Center for Counseling.
QUALIFICATIONS
- Degree in Accounting or Finance preferred.
- Non-profit accounting or bookkeeping experience required.
- Excellent communication skills, both written and verbal.
- Xero Accounting software and Dext software knowledge preferred
- Working knowledge of GAAP.
- Strong numeracy and analytical skills.
- Good problem-solving and time management skills.
- Highly organized and detail-oriented.
